POSITION SUMMARY
The responsibilities of this position include support for the day to day operations of the Health Plan in Buffalo, New York, serving as receptionist for the facility and performing administrative tasks to support the Buffalo Team as well as corporate headquarters.
ESSENTIAL JOB DUTIES/FUNCTIONS

Day to Day Operations Support - Address day to day operations at Health Plan
- Order supplies needed to maintain business and support Buffalo Team. Maintain Inventory of supplies and manage receipts and submission to Finance.
- Responsible for maintaining copier, printer and fax machines. Order supplies and coordinate any maintenance with vendor and notify IT Department.
- Coordinate with Rochester based facilities manager and Buffalo based facilities support (as needed)

Administrative Support for Buffalo operations & Health Plan Quality Program - Administrative support for Health Plan Quality Program, NCQA and HEDIS
- Make outreach calls to providers for HEDIS
- Make outreach calls to members about preventive screenings - Retrieve, review and file returned faxes and track in excel |

General Office Support - Provide the following support as requested/directed: scheduling meetings; meeting notification; meeting packet development (as directed) and mailing/emailing to attendees as directed; arranging catering.
- Demonstrate flexibility to enable access to building for meetings held before/after normal business hours.
- Manage on site mailings; distribute mail; re- direct mail to Corporate office
-Make copies as needed.

- Answer telephone and transfer callers to the appropriate extension.
- Greet guests, ensure guests sign-in, and notify appropriate staff of his/her guest’s arrival.
- Adhere to HIPAA guidelines related to PHI
|
OTHER FUNCTIONS AND RESPONSIBILITIES
- Attend regularly scheduled departmental meetings
- Process correspondence as requested
- Position may require overtime hours, evenings and weekends
- Performs other duties as assigned
MINIMUM REQUIREMENTS/LICENSES/CERTIFICATIONS
- Minimum of HS education or equivalent
- 3-5 years experience in Administrative Assistant related duties.
- Previous experience in a provider office or with a health plan- Excellent communications skills and the ability to work with others
- Proficient in Word and Excel and PowerPoint and Outlook
- Good organizational skills
- Helpful, positive attitude
- Flexible, ability to adjust to changing situations and requirements
