POSITION SUMMARY

This position is responsible for providing daily administrative support to the Corporate Officers, as well as operational administrative support to the other members of the senior management team on a regular basis.

Administrative Support including:

- Manages the calendars for the Corporate Officers.
- Screens incoming calls and correspondence for the Corporate Officers and responds independently when possible.
- As directed by the Corporate Officers, composes confidential correspondence, reports and other complex documents. Creates and maintains databases and spreadsheets.
- Maintains files for the Corporate Officers and keeps official corporate records for the organization.
- Prepares monthly expense reports for Corporate Officers.
- Schedules meetings for Corporate Officers and other senior management team members as needed.
- Arranges detailed travel plans and itineraries for Corporate Officers and other senior management team members as needed.
- Prioritize and distribute mail for Corporate Officers and other senior management team members as needed.
- Maintains and publishes corporate monthly calendar.
- Maintains confidentiality of all corporate, personnel and research matters.

Board Activities

- Organize all Monroe Plan & Univera Community Health (UCH) Board and all related Committee meetings. Assist with all other executive meetings and organizational business meetings as needed including but not limited to annual meetings, special events, and EHP Steering Committee.
- Site liaison for offsite meetings.
- Handle all logistics and scheduling including but not limited to invites, confirmations, directions, media, and food & beverage.
- Prepare itineraries/agendas, meeting documents and presentations, pre/post meeting materials and mailings.
- Record, finalize and distribute minutes and corporate resolutions.
- Manage the meeting budget as needed.
- Support and coordinates Board Nominations process.

Operational Support including:

- Orders & Maintains supplies and stationary for Rochester office.
- Supports select Provider Relations administrative processes including, but not limited to, credentialing and out-of-area member transportation.
 -May provide back-up and support to other administrative functions and performs other duties as assigned.
OTHER FUNCTIONS AND RESPONSIBILITIES

- Performs other duties as assigned.

 

MINIMUM REQUIREMENTS/LICENSES/CERTIFICATIONS
- Associates Degree of equivalent required.

- A minimum of 5 years administrative experience.

-Highly proficient in Microsoft Office including outlook, word, excel, access, and power point.

- Knowledge of business operations

- Must possess excellent verbal and written communication skills. Able to edit own work for spelling and grammar, present numerical data effectively and to read and interpret written information.

- Highly professional demeanor and judgment.

- Able to work independently, prioritizing and completing assignments on time with minimal supervision.

- Able to interact effectively with staff, board members, and community representatives.

- Must maintain the highest level of confidentiality.

- Problem solving skills- the individual identifies and resolves problems in a timely manner, gathers and analyzes information skillfully and maintains confidentiality.

- Demonstrates accuracy and thoroughness and monitors own work to ensure quality.

- Adapts to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected events.

- Dependable and consistently at work and on time, follows instructions, responds to management direction, and solicits feedback to improve performance.

- Occasional travel may be required.

 

PREFERRED QUALIFICATIONS

- Bachelors Degree or equivalent preferred.

- Strong preference for experience managing administrative processes related to board activities.
